Event Safety

One way to help ensure a successful event is to invest in a safe working environment and ensure individuals are not exposed to risks to their health and safety during the event. A well-managed event prioritizes the well-being of event staff and attendees by focusing on:

  • Lessening potential risks,
  • Ensuring a secure environment,
  • Preventing injuries, and
  • Protecting against disruptions

This may include conducting risk assessments, contracting with security personnel, completing venue inspections, having weather contingency plans, ensuring access to medical support, and developing event safety and communications plans. 

Three steps:

  1. Know your venue
    • Schedule time with your venue manager to learn the building and room in which your event will take place.
    • Ask to see emergency exits and walk to the areas where guests would be directed.
    • Discuss emergencies that would require the building to be vacated, such as fire or bomb threats, as well as weather emergencies requiring everyone to remain inside.
  2. Share the information
    • Train your staff and volunteers on emergency procedures so they can assist during an emergency.
  3. Use your Resources
    • Public Safety Officers can advise planners during all phases of the event planning, they are available 24/7 at (208) 282-2515.
    • Environmental Health Safety & Sustainability guides maintaining a safe indoor and outdoor environment for your staff and guests.
    • Risk Management & Compliance oversee the University's insurance program designed to provide a safe environment for the campus community.
    • Facilities Services can help with event signage, event supplies, and general grounds and maintenance needs. 
    • Emergency Management can assist in planning by identifying and mitigating risks for the event regardless of size or scope of the event.
