Military Tuition Assistance Return of Funds Policy

Military Tuition Assistance (TA) is awarded to you, a military-connected student, under the assumption that you will attend school for the entire period for which the assistance is awarded. When you withdraw or stop attending, you may no longer be eligible to receive the full amount of TA funds originally awarded.

To comply with Department of Defense policy, Idaho State University will return any unearned TA funds on a proportional basis through at least the 60% portion of the period for which the funds were provided. TA funds are earned proportionally during an enrollment period. Unearned funds will be returned to the military based upon when you stop attending.

If you stop attending due to an unanticipated military service obligation, Idaho State University will work with you to identify solutions that will not result in student debt for the returned portion.

Calculation

When you “officially” withdraw from a course and are assigned a “W” grade, the date of withdrawal will be used as the last date of attendance. If a student receives an “F”, “U” or an “X” grade for a course with a reported Last Date of Attendance, that is considered an “unofficial” withdrawal.

For unofficial withdrawals, Idaho State University will utilize the last date of attendance (LDA) as reported by the instructor. Once the LDA has been determined, Idaho State University will calculate the percent of TA funds you have earned based on the following formula:

Number of days completed / Total days of the course (start to end date) = Percent earned

Return of funds

The start and end date will be used for each course to determine the percent of unearned TA funds to be returned. Using the formula above, the return of unearned TA funds is likely to create a balance on your Idaho State University student account that will be your responsibility to repay to the university.

Basic Process

Registrar’s Office is made aware of student withdrawal.

Registrar’s Office will then:

  • Calculate percentage earned for each course and inform Finance,
  • Communicate with the student.

Finance office will process the return of funds to DOD and update the student account.

The percent of TA funds to be returned for courses that have a beginning and start dates that do not correspond to the above will be based on the actual start and end dates of the course.
