Mailing Standards

The following standards are used when determining the proper way of mailing out items.

Postcard Guidlines 
Minimum Dimensions 5” long x 3.5” high
Maximum Dimensions 6” long x 4.25” high
Maximum Thickness Single Sheet of Paper

 

Letter Guidlines 
Minimum Dimensions 5” long x 3.5” high
Maximum Dimensions 11.5” long x 6-1/8” high
Maximum Thickness 1/4” thick
Maximum Weight 3.5 ounces

 

Large Envelop Guidlines 
Maximum Dimensions 15” long x 12” high
Maximum Thickness 3/4” thick
Maximum Weight 13 ounces

 

Package Guidlines 

Padded Envelope, Oversized Envelope, or up to 13 ounces in weight

1st Class
Over 12 ounces in weight Priority Mail

 

If an item has a significant lump or something that will not survive processing through mail machines (i.e. keys, name tags, lanyards, face masks, etc.), the item is automatically upgraded to a package to try to ensure that the item reaches its destination in one piece. However, this is not a guarantee that the items will make it. Please ensure that your items are properly secured in adequate packaging. Packages with Dimensions Over 12”

Any package with a dimension over 12” may be subject to additional handling fees as per USPS standards. Please be aware that this can mean a significant raise in the price of mailing items and try to package your items accordingly.

Envelope Standards

When printing envelopes to send out from campus, please be sure to leave a blank white space of no less than 1.5” high x 3.5” wide so that there is adequate room to affix postage to the items. Envelopes that do not meet this standard will be subject to additional handling fees of 5 cents per envelope.

Colored Envelopes

Colored envelopes are generally ok when sending out mailings. However, the colors of RED and ORANGE should be completely avoided, as well as DARKER COLORS, as they interfere with the Post Office’s ability to verify the postage attached to the items. Any envelopes printed in these colors will be subject to a 20 cent handling fee per item. Postcard Standards

When mailing postcards, do not print the postcards with double sided glossy finish. The side containing the address and postage must be a matte finish or the item will be subject to a 5 cent handling fee per item.

Mailing Magazines

Magazines must be designed so that the edge that will be fed through the mailing machines contains the binding of the item. See the attached picture for reference. Items not designed in such a way will not be able to be mailed and will be refused.
