Mass Emails

Why are we instituting a mass email policy?

When we receive too many emails that aren’t related to our work or academic activities, we tend to ignore them, making it more likely that we’ll miss something we need to know.

The policy of the University is to preserve email for critical information only, such as time-sensitive information, emergencies and information that is required to be sent for legal reasons.

I have information to share. How do I do it?

 

1. When you have information you want to share, decide which category it fits into:

Must Know

This type of information is timely, and it is vital that the entire campus knows immediately.

Due to bad weather, the University will close at…

This type of information will typically be delivered via mass call, text or email.

Should Know

This is information that is important for everyone to know, but isn’t an emergency.

Employee benefit open enrollment is...

This type of information will typically be delivered via mass email or other electronic communications.

Want to Know

This is information that is good for faculty and staff to know, but isn’t vital or time-sensitive.

Jane’s retirement reception is set for… or Tonight’s basketball game is…

There are many ways to share this type of information, but typically this won’t be delivered to the University community via mass email.

2. If you believe your information should be sent out via mass email, please fill out this form. All mass emails must go through an approval process detailed in the University’s official policy.

 

3. If you have “Want to Know” information, we would love to help you share it. There are many options, and we can help you choose the right one. Email Emily Frandsen at franemil@isu.edu for help with your message.

Here are a few options at your disposal.

  • Story in Idaho State Today: Submit information to our Submit a Story form.
  • Events Calendar: Submitting your events to the calendar not only gets your information to the public, but ensures your event won’t conflict with other happenings on campus. You can submit by filling out a submission form.
  • Targeted email lists: Send emails specifically to departments and groups on campus most likely to need the information. We can help connect you with the right list.
  • Social Media: Make use of your department’s social media, or contact us about putting your information on ISU’s social media channels.
  • Posters, flyers, table tents: Sometimes the most traditional way is still the best way to share information. Depending on your event, posters and flyers still might be one of the most effective ways to share your information.
  • For student information, submit information to our Submit a Story form.
