Electronic Records Overview

Electronic Records Management (ERM)

Electronic records are managed basically the same as paper records.  Like paper records, they are either destroyed or transferred to University Archives, and E-records adhere to the same retention and disposition schedules. However, E-records must be handled differently and there are additional requirements for creating and maintaining them. Metadata must be included, and the records may be migrated to newer digital formats. The IT department may have access to the records, and some of the E-records created by the University warrant long-term digital preservation (LTDP).

The benefits of having a sound E-records program

  • Ability to control the growth of E-records
  • Protection of vital records
  • Protection of archival material
  • Maintaining uniformity throughout the University
  • Maintaining compliance
  • Quick access to records
  • Ensuring the integrity, usability, and authenticity of digital material
