Marketing Materials Approval Committee

Committee's Purpose and Charge

The Marketing Materials Approval Committee (MMAC) was instituted by President Arthur C. Vailas to review all promotional and marketing materials created for Idaho State University. The committee is charged with ensuring all marketing materials represent the University well. It will review the design, photography, copy, and adherence to the University's Graphic Identity Standards in all promotional materials.

Types of Materials

All items used to promote Idaho State University, to either internal or external audiences, should be submitted to the MMAC for approval. This includes, but is not limited to: brochures, advertisements, newsletters, annual reports, recruitment materials, posters, invitations, postcards and promotional give-away items (i.e. mugs, pens, t-shirts). Promotional materials distributed in an electronic format, such as e-newsletters, should also be submitted.

Approval Procedure

  1. Submit: Email all promotional materials (both for internal and external audiences) for approval prior to being produced or distributed.
  2. Submission Deadline: The MMAC meets every Monday at 1 p.m. in room 142 of the Administration Building. Submissions are due by 9 a.m. that same day. Large publications such as newsletters or magazines should be submitted no later than the Thursday before the meeting. Items can be emailed to Joey Gifford or sent via mail to:

  3. Prior College Approval: Each college (or other campus equivalent) is responsible for the promotional materials generated within its area. Marketing materials should be approved at the college-level before submission to the MMAC for final approval. Colleges should ensure that materials have been thoroughly proofread, accurately reflect the University and meet ISU's Graphic Identity Standards before submitting them to the MMAC.
  4. Open Meetings: Those submitting marketing materials to the MMAC are welcomed and encouraged to attend meetings in which their materials will be reviewed. This gives the committee the opportunity to ask questions and gain a better understanding of the piece's purpose and use. Those submitting materials benefit from hearing suggestions first-hand.
  5. Committee Feedback: Those who choose not to attend the meeting for immediate feedback will receive proofed copies of their submission via campus mail. Submissions can also be picked up in the Marketing and Communications Office directly after the meeting. Please give prior notice if you plan to pick up your submission.
