Records and Information Management
The ISU Records and Information Management (RIM) Program provides the primary direction for the administration and maintenance of the records of all academic and administrative units of the University, regardless of location.
This program exists to ensure
- ISU's compliance with relevant laws and legal requirements
- Records are effectively managed throughout their life cycle (creation, maintenance and use, and disposition)
- Permanent and archival (significant) records are preserved by transfer to University Archives
- Sensitive records and information are kept stable and secure
By providing information to faculty and staff on records management techniques (how to manage files, how long to keep records, how they should be destroyed), secure storage, and assistance with the transfer of permanent records to University Archives.
Services
The Records Manager provides
- Answers to questions about records retention periods for University records
- Forms, procedural information, and records handling updates via the RIM web site at http://www.isu.edu/infomgmt/
- Guidance and in-office assistance to appointed department liaisons (Records Coordinators) with their records, identifying outdated records, which can then be approved for destruction (freeing up office space) or documenting special retention periods as needed
- Records retention schedules and a RIM Guide
- An institutional survey dealing with areas in critical need of relief from older records, either through approval for destruction, or transfer to University Archives
- Identification of records that should be transferred to the University Archives
- Training and briefings on how to inventory records, common questions about records life spans, security and confidentiality
