Maintaining Your Momentum: A Transistion Checklist
Many times the success of a student organization depends on its effective leadership transition. You know the scenario: you are handed a set of unbalanced books and unpaid bills at the end of the year and you spend five hours trying to straighten it out; or you receive notice from the Student Organizations Office telling you that your organization is on inactive status because nobody ever told you about the annual registration form; or you missed the Student Organization Fair in the fall because you didn't know that you had a mailbox in the Student Activities Center (3rd floor of the Early Learning/Student Activities building). Don't let this happen in your organization - provide an effective transition.
Beginning of the academic year...
- fill out an annual registration form to reactivate your organization. Forms are in your club mailbox before school starts and are also available at the front desk of the Student Activities Center.
- pick up mail from your club mailbox in the Student Activities Center
- fill out an authorized signature sheet for your club account and it in to the ASISU office. The ASISU office (senate office) is your club's financial home. They are located in the Hypostyle Rm 299.
- attend the mandatory Financial Workshop sponsored by ASISU. At least two representatives from each club must attend this workshop.
- make sure you have a copy of the "Money: How to Get It, How to Spend It" handbook available from the ASISU office.
- obtain current balances for your club and supplemental accounts.
- meet with your organization's advisor
- review financial records, organization manual, constitution and by-laws, and other important documents.
- make plans to participate in the Student Organization Fair held in late September
At any time during the year...
- follow all financial regulations. If you ever have questions about any transaction, contact the ASISU office
- verify account balances when they are placed in your mailbox, or at any time, by contacting the ASISU office
- go to the ASISU office to transact all financial business
- in the spring semester, apply for Supplemental Funding for the following year. Watch your mailbox for notification of application dates and deadlines
- fill out a new authorized signature sheet whenever you have a change in officers
- notify the Student Organizations office whenever you have a change in officers/advisors
- pick up your mail every week from your mailbox in the Student Activities Center
End of the academic year...
make sure your new officers know that your club has a mailbox and where it is located. Make sure they know where the ASISU office is located.
- check with the ASISU office to make sure that there are no problems with your club account. Leave a contact name and phone number for the summer.
- ensure a smooth leadership transition by passing all pertinent information to the new officers
- recognize and reward members for their accomplishments
