Position: Special Events Coordinator

Non-Classified; Full-time, 12 month appointment.

Responsibilities

The Special Events Coordinator is responsible for the planning, execution, evaluation and record keeping for all presidential special events. This position serves as the primary point of contact, coordinates and supervises both internal and external resources needed for an event. The Special Events Coordinator will take a leadership role in the planning and execution of successful events, which are key to the stewardship of donors and other friends of the university. This position will serve as an informational resource to other units in planning and executing special events.

Responsibilities include, but are not limited to: Determining and scheduling appropriate locations for events; Coordinating the work of food service, maintenance, building management, security, development, and academic units in the execution of an event; Negotiating pricing and contracts; Menu and event seating planning; Supervising the work of the Executive Housekeeper as related to special events in the Servel House and the L.E. and Thelma E. Stephens Performing Arts Center; Overseeing photography and written materials including invitations, name tags, programs, press releases; Organizing short classes for staff and maintains the Office of Special Events website to provide continual guidance in best practices for special event planning; Managing the calendar of the ISU President’s spouse; Managing inventory and other duties as assigned.

The successful candidate will have excellent organizational and leadership skills and a strong attention to detail. She/He will have the ability and willingness to work evenings/ weekends and travel as necessary. Must be able to collaborate and delegate where appropriate. Ability to plan in advance and manage multiple calendars is desirable. 

Minimum Qualifications

Bachelor's degree. Excellent oral and written communication skills. Strong computer skills including Microsoft Office applications and web applications. Ability to learn specialized event planning and seating software. Strong organizational skills required.

Preferred Qualifications

Experience creating invitations, event programs and other printed materials. Knowledge of academic protocol and experience managing a budget. Demonstrated knowledge and experience in the successful execution of an event.
